How to Prepare for an Academic Conference Presentation

Giving a presentation at an academic conference is very different from writing a research paper. When you write, readers can stop, reread a paragraph, check a citation, or go back to an earlier section. During a presentation, your audience has to follow your ideas as you explain them in real time.

That is why I don't think a conference presentation should simply be your paper turned into slides. Your job is to identify the most important part of your research, explain it clearly, and give the audience a reason to care about it.

A systematic review of 91 articles on scientific presentations found that several recommendations appeared repeatedly, including keeping slides simple, adapting the presentation to the audience, rehearsing, avoiding reading directly from slides or a manuscript, and maintaining eye contact.

With that in mind, here is a practical way to prepare for your next academic conference presentation.

Start by Understanding the Conference

Before I create a single slide, I check the conference instructions.

It sounds obvious, but this step can save you a lot of trouble later. Every conference has its own expectations, and those details can affect almost every part of your presentation.

Find out:

  • How much speaking time do you have?
  • Is there a separate Q&A session?
  • Who is likely to be in the audience?
  • Do presenters have to submit slides beforehand?
  • What file formats are accepted?
  • Will you use your own laptop or a conference computer?
  • Is there a particular slide template?
  • What equipment will be available?
  • Are there accessibility requirements?

Your audience matters just as much.

If everyone attending works in your narrow research area, you may not need to spend several minutes explaining basic concepts. On the other hand, an interdisciplinary audience may not know your terminology, methodology, or assumptions.

Stanford's Oral Communication Program recommends considering your audience, purpose, and presentation environment when planning a talk.

I usually begin with one simple question:

What do I want this particular audience to understand by the time I finish?

That question helps prevent the presentation from becoming a summary of everything I know.

Find the Main Point of Your Research

Your research may contain dozens of interesting details. Your presentation probably shouldn't.

One of the hardest parts of preparing a conference talk is deciding what to leave out.

I find it useful to complete this sentence:

"If the audience remembers only one thing from my presentation, I want it to be..."

That answer becomes the central idea of the talk.

Once you know that, select the evidence the audience actually needs to understand your argument. You might have ten interesting findings in your paper, but perhaps only two or three are essential to the presentation.

Stanford's guidance for academic paper presentations similarly recommends identifying the main points and removing material that does not directly support the purpose of the talk.

A straightforward structure for many research presentations is:

  1. Introduce the research problem.
  2. Explain why the problem matters.
  3. Briefly describe your approach.
  4. Present the most important findings.
  5. Explain what those findings mean.
  6. Finish with the main takeaway.

Of course, the exact structure will depend on your field. A humanities presentation, for example, may not look like an empirical science talk. The important thing is that your audience can see how one idea leads to the next.

Build the Argument Before the Slides

I recommend writing the basic story of the presentation before opening PowerPoint, Google Slides, or any other presentation software.

Think about the logic of the research first.

Perhaps your study begins with a problem that existing research has not adequately explained. You then introduce your approach, show the evidence you collected, and explain what that evidence tells us.

That sequence is more useful to your audience than simply reproducing the headings from your paper.

Nature's training guidance on scientific presentations also emphasizes developing the research story before designing the presentation itself.

For example, instead of structuring a talk as:

Literature review → methodology → result 1 → result 2 → result 3 → conclusion

you might organize it around a question:

We noticed a particular problem. Why was it happening? We tested several possible explanations. The evidence points toward one explanation more strongly than the others.

The second approach gives the audience something to follow.

You're still presenting serious academic work. You're simply making the reasoning easier to understand.

Keep Your Slides Simple and Useful

Once the argument is clear, start working on the slides.

This is where many otherwise strong presentations become difficult to follow. Researchers often try to squeeze paragraphs, tables, references, definitions, and several findings onto a single slide.

The information may be correct, but the audience cannot read everything while also listening to you.

Jennifer Widom's Stanford guidance for conference presentations recommends avoiding overcrowded slides, using readable text, selecting representative results, and avoiding reading slides word for word.

A better approach is to give every slide one main purpose.

For example, instead of putting an entire results paragraph on the screen, the slide might communicate:

Response time decreased by 18% after the intervention.

A simple graph can show the evidence, while you explain the context and significance verbally.

That division of labor matters.

Your slides provide visual support. Your voice provides explanation.

Choose visuals carefully

Charts, diagrams, photographs, maps, and other visuals can make complicated research much easier to understand.

But don't add an image simply because an empty space looks strange.

Before including a visual, ask yourself:

  • Does it help explain the research?
  • Can people read it from a distance?
  • Is the important information obvious?
  • Have I explained what the audience should notice?
  • Does it deserve the time required to understand it?

If not, remove it.

A simpler slide is often more effective than a crowded one.

Make the Presentation Accessible

Accessibility should be considered while designing the presentation rather than added at the last minute.

For example, if two categories in a graph are distinguished only by color, someone with color-vision difficulties may struggle to interpret it. Adding labels, patterns, symbols, or other visual differences can make the information easier to understand.

Recent guidance on scientific presentations recommends clear organization, readable text, reduced visual clutter, and appropriate contrast.

I would also check that:

  • Text is large enough to read comfortably.
  • Important information is not communicated through color alone.
  • Technical terms are explained when necessary.
  • Acronyms are introduced before being used repeatedly.
  • Videos include captions where appropriate.
  • Images and graphs are explained verbally.
  • You use a microphone when one is provided.

These practices don't only help people with disabilities. Clearer slides generally make life easier for everyone in the room.

Rehearse the Presentation Out Loud

You can know your research extremely well and still struggle with the presentation.

The reason is simple: thinking through a talk and actually delivering it are two different things.

At least once, I would rehearse the entire presentation standing up, using the actual slides. If possible, record yourself or present it to a colleague.

And time yourself.

If your conference gives you 15 minutes, don't prepare a talk that takes 16 or 17 minutes every time you rehearse. You need some breathing room for pauses, questions, technical problems, and normal variations in speaking speed.

Ask for useful feedback

Instead of asking someone, "Did you like my presentation?", ask questions that produce actionable feedback.

For example:

  • What did you think my main argument was?

  • Did the research question make sense?

  • Was anything too technical?
  • Did the conclusion actually answer the question from the beginning?

These questions can reveal problems that you may not notice yourself.

If your colleague cannot explain your main point after hearing the presentation, that is useful information. It may mean your structure needs work.

Stanford communication instructor Matt Abrahams also emphasizes practicing the actual delivery of a presentation rather than simply reviewing the slides mentally.

Prepare for the Q&A

For many researchers, the question-and-answer session is more intimidating than the presentation itself.

The easiest way to make it less stressful is to prepare for it before you arrive.

Imagine yourself sitting in the audience. What would you ask the speaker?

You might hear questions such as:

  • Why did you choose this method?
  • What are the main limitations of the study?
  • How does your work differ from previous research?
  • Could another explanation account for your findings?
  • How widely can these results be applied?
  • Why did you exclude a particular variable?
  • What would you investigate next?

Write down likely questions and think through your answers.

You don't need to memorize a script. In fact, memorizing complete answers can make you sound less natural.

Instead, understand the reasoning behind your decisions.

And if you don't know the answer to something, don't try to bluff your way through it. You can acknowledge the limitation, explain what you do know, and say that the question raises an issue worth investigating further.

If you don't hear a question clearly, ask the person to repeat it. Repeating or briefly paraphrasing the question can also help the rest of the audience understand what you are responding to.

Create a Few Backup Slides

Backup slides can be extremely helpful when your research involves detailed data or complicated methodology.

You don't necessarily need to show these slides during the main presentation. Keep them after your final slide so you can bring them up if someone asks a detailed question.

Useful backup material might include:

  • Additional results
  • Detailed methodology
  • Statistical analyses
  • Supplementary figures
  • Alternative models
  • Definitions
  • Additional literature comparisons
  • Robustness checks

Stanford Medicine's presentation guidance also recommends having backup slides available for questions that require more detailed evidence.

This is particularly useful when someone asks, "Do you have the data for...?" Instead of trying to remember a number from memory, you can show the relevant evidence.

Check the Technology Before You Present

Technical problems are one of the easiest things to prevent.

Before the conference, check:

  • Fonts
  • Videos
  • Audio
  • Animations
  • Embedded graphs
  • Hyperlinks
  • Equations
  • Slide dimensions
  • Presenter notes
  • File compatibility

Keep the presentation in more than one format when possible. A PDF can be a useful backup, although you should remember that animations and some interactive elements may not work in it.

Also keep a backup copy somewhere other than your laptop.

Conference organizers may have their own presentation computers and specific file requirements. For example, SLAC's NAPAC speaker guidelines instruct presenters to check their slides on the equipment used in the presentation rooms and follow the conference's submission requirements.

The broader lesson is simple: follow the instructions provided by your conference instead of assuming the setup will be the same as the one you use at home or at your university.

Practice Your Opening and Closing

You don't have to memorize your entire talk.

In fact, trying to memorize every sentence can make you more nervous if you forget one.

I would pay particular attention to the first and last parts.

Your opening should quickly tell the audience:

  • What your research is about
  • What problem you are addressing
  • Why the problem matters
  • What question you are trying to answer

Your conclusion should bring the presentation back to that central question.

For example, you might end by explaining your main finding, what it means, and why it matters.

Then stop.

There is no need to add three new arguments after your conclusion simply because you still have 30 seconds left.

Don't Ignore Presentation Anxiety

Feeling nervous before an academic presentation is common. The goal isn't necessarily to become completely fearless. The goal is to become prepared enough that nerves don't control the presentation.

Preparation helps because it removes uncertainty.

Know your opening. Know your main argument. Know your slide order. Know your timing. Think about difficult questions. Check your technology.

A 2025 qualitative study involving tertiary students in Bangladesh identified factors such as insufficient preparation, fear of judgment, public-speaking anxiety, and language barriers as contributors to presentation anxiety. Participants reported strategies including rehearsal, peer feedback, relaxation techniques, and technological support.

If English isn't your first language, don't feel that every sentence needs to sound complicated or highly formal.

Academic communication is not a competition to use the biggest words.

Clear explanations, sensible pacing, and accurate terminology are much more valuable.

  • Keep an eye on the clock.
  • Pause after important findings.
  • Explain graphs rather than expecting people to interpret them immediately.
  • Use the microphone if required.
  • Avoid reading your slides word for word.
  • If you make a small mistake, keep going.

A minor stumble rarely matters as much as you think it does.

During questions

  • Listen carefully before answering.
  • Ask for clarification if necessary.
  • Take a second to think.
  • Answer the question that was actually asked.
  • Be honest about limitations.
  • Separate your findings from speculation.
  • Thank the person for the question.

Final Thoughts

Preparing an academic conference presentation is less about putting as much information as possible onto slides and more about deciding what information deserves the audience's attention.

Your research may have taken months or years. You cannot reproduce all of that work in a 15-minute presentation, and you don't need to.

Instead, give the audience a clear path through your research.

Explain the problem. Show why it matters. Introduce your approach. Present the evidence that matters most. Explain what you think it means. Then leave people with a clear takeaway.

Before you finish preparing, ask yourself five questions:

  1. What does this audience already know?
  2. What do they need to understand?
  3. What is the most important idea in my research?
  4. What evidence supports that idea?
  5. What do I want people to remember after I leave the room?

If you can answer those questions, you are already much closer to a strong presentation.

The goal isn't to sound perfect. It is to make your research understandable, demonstrate that you know your subject, and create an opportunity for a useful academic discussion.
